Most business owners I work with aren't short of drive. They're short of hours. The job is getting done but the admin, the follow-ups, the compliance records, the customer communication that stuff keeps getting pushed to the bottom because there's always something more urgent in front of it.
The problem is, that backlog is quietly costing you.
Missed enquiries, unpaid invoices, gas Safe records that aren't up to date, care plan renewals that slipped through, customers who didn't hear back quickly enough and went elsewhere.
I support trades and service led business owners on a monthly retained basis. Below is what that looks like in practice.
Customer enquiries and communication
Your inbox handled properly every working day. Enquiries responded to promptly. Customer updates sent at the right time. Complaints handled professionally before they escalate.
For a trades business, a slow response to a new enquiry is often a lost job. Customers calling about a boiler that's stopped working on a cold morning aren't going to wait two days for a callback. I make sure nothing sits unanswered.
This also covers liaising between your customers and your engineers, managing expectations, providing job updates and following up outstanding matters so the right information reaches the right people without it all landing on you.
Quotation management and invoice control
Quotes produced, sent and followed up. Conversions tracked. Invoices raised, monitored and chased systematically with the right tone at the right stage.
I've recovered over £24,000 in outstanding invoices for a single client in under two weeks. Structured credit control and consistent follow-up is often all it takes. You keep doing the work. I make sure you get paid for it.
Compliance and records management
This is where trades businesses have a specific need that most VAs can't support properly.
Gas Safe compliance administration. Boiler service records. Engineer qualification tracking and renewal dates. Care plan administration. Service schedules and maintenance reminders. Compliance documentation and audit preparation.
I understand the compliance landscape that comes with running a gas or heating business. These aren't generic admin tasks, they're critical records that need to be maintained accurately and consistently. I treat them that way.
Team and operational support
Engineer and office staff coordination. Annual leave records. Workload monitoring. Onboarding administration. Staff records. KPI and target tracking.
For directors, this means the day-to-day team management stops sitting entirely on your shoulders. I act as the central operational point making sure communication flows, nothing falls through the cracks and you're not the person who has to know everything at all times.
This extends to strategic support too. Identifying where the bottlenecks are. Building SOPs so processes live somewhere other than your head. Helping you move from constantly reacting to actually running the business with some visibility over what's happening in it.
Finance and business administration
Invoice reconciliation. Payment tracking. Expenditure monitoring. Bookkeeping support. Supplier invoice management. Financial reporting assistance.
Alongside the wider diary management, document management, meeting coordination and general business administration that keeps the operational side of the business ticking over properly.
Marketing and business development support
Social media content, content calendars and seasonal campaigns. Promoting boiler installations, servicing and heat pump work. Review and reputation management. Website updates and SEO-focused content.
If you want to stay visible to past customers and keep new enquiries coming in without spending your evenings writing captions, I can keep that moving too.
Not sure what you need?
Most people I speak to know something needs to change but aren't sure exactly what to tackle first.
The free 30-minute call is just a conversation, we talk through what's going on in the business and work out whether there's a fit.

Need a hand with a one-off project or some ad hoc tasks? I’ve got you covered.

Project & Ad Hoc Support
Sometimes you don't need ongoing support. You just need something done properly.
A CRM that's actually set up to work for your business. A booking system that's been built and tested, not just switched on. An email marketing campaign that's ready to go. An operational process that's been sitting on your list for months because there's never quite enough time to get to it.
That's exactly what project support is for.
Whether it's a single task or a focused project, I work with service-led founders to get the right things in place so the business runs more smoothly behind the scenes. No retainer, no long-term commitment. Just experienced support and the job done properly.
How It Works
Project support is charged on a project basis and paid upfront. You'll receive clear progress updates throughout so you always know where things are and what's been completed.
Straightforward, focused and without the faff.
